Privacy Policy

ELSI ("we", "us") provides incident logging and coordination software for live events, used through this website and the ELSI mobile app. This policy explains what information the web and mobile apps collect, why, and how it's handled.

ELSI is used by event organisers and their staff. If you're a member of staff using ELSI on behalf of an event organiser, that organiser controls your account and the incident data you create — this policy covers how ELSI itself, as the software provider, handles that information on their behalf.

Information we collect

Account information

Name, email address, and role, provided when an administrator creates your account or you register a company.

Incident and operational data

Incident reports, notes, decisions, status updates, and any photos, video, or voice notes attached to them — logged by you or other staff as part of running an event.

Location

With your permission, the mobile app can share your live location with your control room and other staff on the same event, so incidents can be routed to whoever is nearest. This can continue briefly in the background while location sharing is active, but only while you're signed in and staffed on an active event. You can turn this off at any time.

Camera and microphone

Used only when you choose to attach a photo, video, or voice note to an incident, or start a live video broadcast to other staff. ELSI does not access your camera or microphone at any other time.

Push notification tokens

A device token (via Apple Push Notification service / Firebase Cloud Messaging) so the app can alert you when you're assigned an incident or tagged in one, even when it's closed.

Biometric login

If you enable Face ID / Touch ID / fingerprint sign-in, your device's own operating system handles the biometric check entirely on-device — ELSI never receives or stores any biometric data itself, only a securely stored login token your device releases after a successful check.

Contacts

The "Contacts" feature is an in-app directory of event/company contacts entered by administrators — ELSI does not read or access your device's own address book.

How we use this information

Solely to provide the incident logging and coordination service: showing incidents to the right staff, sending alerts, routing incidents by location, and maintaining a record of what happened at an event. We do not sell personal data, and we do not use it for advertising.

Who we share it with

Data stays within your own organisation's account — never visible to other companies using ELSI. A small number of infrastructure providers process data on our behalf to run the service:

  • Hosting and database storage (Hostinger)
  • Push notifications (Google Firebase Cloud Messaging, Apple Push Notification service)
  • Real-time updates on the live incident board (Pusher)

We don't share data with anyone else, except where required by law.

Data retention

Incident records are retained by your organisation for as long as they keep using ELSI, for operational and record-keeping purposes. An administrator can deactivate an account at any time, and can request deletion of an account's personal data by contacting us.

Your rights

You can ask your organisation's administrator, or contact us directly, to access, correct, or delete your personal information, subject to any operational record-keeping requirements your organisation has.

Children's privacy

ELSI is a workplace tool for event staff and is not directed at, or intended for use by, children.

Changes to this policy

If this policy changes, we'll update the date at the top of this page.
